      1 what is WSF workspace?

      A collaborative website operating with consideration of social forum principles

      It has been developped progressively by an international team since april 2005.

      A first prototype was used for organisation and activity registration in WSF2006 polycentric. A consolidated version is being used for consultation on actions, campaigns, and struggles for WSF20007 and will be further developped. Another consolidated version will be on line early October for WSF2007 activity registration . This is the version that is presented herebelow

      2 Why an activity workspace?

      To create a permanent cyberspace where each organization that participates in the WSF process can have a dedicated workspace.

      This workspace can be used for contacts and discussions, to propose or initiate online activities, alone or collaboratively in “ groups of partner organizations, and draft and publish documents about them.

      This workspace can also be used to propose activities for the Nairobi WSF 2007and is the place where to "register" them to be taken into account by Nairobi event Program Group.

      3 Who is invited to participate in the workspace? Who gives support to help use it?

      Participants in WSF process and their organizations committed to WSF Charter of Principles are all invited to subscribe and participate in the workspace.

      A specific effort will be made so that those organizations that have difficult access, and communicate by phone or mail with WSF offices in Nairobi Sao Paulo Delhi , be visible in the workspace with their telephone or mail coordinates.

      WSF Workspace users will find guidance about the use of the site in WSF offices in Nairobi , Sao Paulo , Delhi and in a Support Group visible in the workspace itself, with which it will be easy to communicate on line..

      4 What can the workspace be used for?

      Participation to the workspace is a way to get involved in the WSF process, even without participating in a WSF event like Nairobi 2007.

      After you become a member of the workspace you can do the following:

      • Get involved as volunteer in volunteer groups acting to prepare WSF2007 in Nairobi, that can be present in the workspace see call for volunteers
      • Get involved as participant to organizations
      • Get involved, in the name of one organization, as participant to Groups of partners organizations, cooperating on on-line activities or on preparation on line of activities they have registered “in” Nairobi event
      • Cooperate with other entities (organizations and groups of organizations) that have their own mailing list and their own dedicated workspace in this workspace site
      • Initiate and perform on line activities, or prepare Nairobi activities, or prepare "proposals of alternatives and transformative actions .
      • All this in collaborative mode, inside and between dedicated workspaces of Organisations and Groups of partner organizations , using following possibilities

          • Create or store documents in the dedicated workspace of one’s organizations or groups
          • Edit them in collaboration or post comments on a bulletin board associated to each document
          • Communicate with other organizations through messages or comments of each other documents
          • Discuss ideas of interconnection between activities or possible merge of activities , whether general activities on line, or activities to be held in WSF2007 Nairobi program
          • Implement, if so decided, the Merge of an activity promoted by an organization or a Group with an activity promoted by another organization or another Group
      • Register in Nairobi WSF2007 event some of the on line activities initiated in the workspace , so they are listed as self organized activities suggested for Nairobi program and taken into account politically and logistically by Nairobi Program Group
      • Get involved with your organization in on line "facilitating Groups" suggesting possible contacts between organizations participating in WSF process and suggestion links or merging between their respective Nairobi activities
      • Publicize your documents so they are visible by internet users visiting WSF2007.org site

      5 How to find information in the workspace

      Practical indications will be detailed later on when the workspace is on line

      The workspace site gives access to :

    • Profiles of thousands of participating organizations, as well as their activities and their published documents.
      • All participants and organisations having registered in WSF2006 workspace, or in WSF2007 consultation workspace before august 30th will be already inside this WSF workspace site when it opens early October ( with same login name and password).

    • Description and documents about cultural , celebrative, dialogic , or practical "activities" in the workspace. These activities are proposed and promoted by organisations or groups of partner organisations inside the "on line open space" provided by WSF workspace.
      • Some of these activities may just be performed on line , without intending to session in Nairobi 2007, or intending to session in a future event

        Many other activities will be also "Nairobi 2007 activities " , held in Nairobi Social Territory in January 2007, appearing in the Nairobi program with name of their promoting partner organisations

    • "Proposals" of transformative actions of all kinds and alternatives towards other possible worlds, publicized and promoted in WSF workspace by organisations, or groups of organizations, participants to WSF process

      6 How to use the consultation workspace to make contacts

      On this other workspace one can find organization contacts based on the proximity felt with "actions campaigns struggles" that these organizations declare they are involved in.

      7 How to input information and create documents in the activity workspace

      One can become producer of content and actor of networking In the name of one organization or group of partner organizations following three steps inside WSF workspace

      1. Register as a person in the workspace with you own name and password
      2. Get co-opted "inside" an entity (an "Organization", or a "Group" of Organisations ) ( or create it if it does not exist yest ) and act on line in the name of this entity, together with your fellow participants in the same entity

          Please note : One is co-opted into an Organisation as a person , whereas one is co-opted into a Group of partner organizations as a participant to a specific Organisation

      3. Input information under various forms ( messages, documents , text, photos, files, comments )while participating to "on line internal life" of this entity, or to "on line networking life" in the name of this entity

      8 How to propose an activity for the WSF 2007 event in Nairobi

      1. First you need be able to act in the workspace (see point 7 above)
      2. Then you Initiate an on line activity in the workspace, promoted by an Organisation or by a Group of Organisations
      3. Start registering this on line activity as having a face to face session in Nairobi and fill up the Nairobi logistical form about "needs and wishes" answering to some questions :
        • What is the title that you suggest for your activity Nairobi program –what is the type of activity ( cultural celebrative dialogic practical etc..)
        • Who is going to be shown in Nairobi program as promoting this activity
          • Two possibilities :

            If activity is initiated by one organisation, partners are one promoting organisation and other partners declared by this organisations,

            If activity is promoted by a Group, partners are the list of Group workspace partners organisations and otherpartners declaredby this group,

        • When it would be held ( day – moment in the day))
        • Where it would happen (kind of space, size of audience)
        • In which language it would be accessible to WSF participants need for translation, and intention to make audio recording)
        • In which neighborhood(or thematic space) of Social forum Territory it would be located

        After saving this wish and need form , you will find your one line activity listed as "Nairobi activity" on the work in progress programs visible in workspace and on event site

        Then, maybe, discuss with other organisations and agree on "merging" this activity with some other activity focused on similar or related topics

        • Note : at any time you can "withdraw" your activity from Nairobi tentative program, and it will be not be taken into account by Nairobi Program Group and will stay in the workspace as an online activity ( that you may cancel or keep for further one line operation )
        • Finalize the registration of the activity by paying the activity fee by bank transfer or possibly credit card
        • Exchange about final allocation of date, room, translation etc… with Nairobi logistics and program group.

            10 Quick overview of the workspace menus

            This section will be detailed later on when workspace is on line in October


            • 0 – General structure
            • left column shows the organisations in which you are a participant then the groups in which you are a participants; when you click there you get “inside” the dedicated workspace on the entity

              central display show the content of the organisations groups activities proposals folders then documents that your are selecting - with a central permanent upper horizontal menu bar ( see 3) and a lower horizontal menu bar depending on the context and your rights ( see 4 and 5)

              right side column – clicking on the operation name give access to a fast track dialogue to perform them clicking on questions marks gives access to help

            11 New possibilities for networking and publishing in the workspace

            This section will be detailed later on when workspace is on line in October

            Comparing to WSF2006 workspace that was available for WSF2006 polycentrics of Bamako Caracas Karachi, main new possibities are :

            • Possibility to Create "Groups" of Organisations cooperating for performing specific on line activities or preparing on line face to face activities to be held in Nairobi WSF2007 event
            • Possibility to use a dedicated internal Mail list for each Organisation or Group in the workspace : All participants in the entity are automatically subscribed to this list , and all participants in the workspace can send messages to this list for networking
            • Possibility to edit or import many Documents Texts Photos Files and display them in relation with an Activity or a Proposal
            • Possibility to associate a Bulletin board /Forum to any of those documents and open it for comments to all workspace participants , or just to participants in the entity in order to have an internal discussion
            • Possibility to interlink the translations in various languages of a same document

            These new possibilities may allow organizations participating in Nairobi to prepare joint activities more efficiently remotely and to display after WSF2007 event the memory and outcomes of those activities

            • 1 - WSF activity workspace is designed to be a collaborative website operating along social forum principles

              activity workspace that will be on line early October collects information on activities that participants in WSF process are having in the on line open space of the activity workspace , and especially on activities that they intend to propose in Nairobi

              Dynamics of this WSF process is reflected in a permanent building , strengthening , and networking of alternatives, proposals, projects, and campaigns.

              In this workspace users abiding by WSF charter and preparing and holding cultural, dialogic, and practical on line activities, behaving as they would do the “open space “ of a forum event the Forum process

            Several main reasons

            • To create a permanent “cyber open space” sustaining WSF process horizontal cooperation dynamics among participant organizations, in between WSF events , with all participants behaving on line as they would do in face to face activities in an event
            • To provide international visibility, internal communication tool and networking tools to all entities participating in WSF process, including those that have scarce or no access to internet
            • To give a website and mail list capability to smaller organisations that have no time and resource to create their inernet site

              To complement existing organizations websites with a specific workspace from where they can communicate easily with other WSF process participants

            • To give possibility of individual ( organized people and volunteers) to express their interest and involvement about WSF process while being included in collective entities that bear political responsibility for their contents –
            • To support collective participatory dynamics despite the distance
            • To offer a repository for all kind of contents produced by participants either for Memory or for outreach purpose

            The site is open for all people having access to internet and feeling like participating to WSF process regulated by WSF charter of principles. They are invited to register themselves on the WSF workspace, and join or create/subscribe organizations ( it is a co-optation process where those that are in accept those that want to come in ) or create organizations of their choice , ( see more 7-2 and more 10-5)

            Digital divide breaking - giving visibility to all organisation

            As a rule defined in Nairobi organizing committee no activity can be put in Nairobi program if it is not initiated in the workspace and registered for nairobi there

            WSF Nairobi organization committee is trying to organize so that non internet based organization have their activities declared in workspace through “internet supporters” assigned to each non internet organization

            Including everyone in the workspace give each organization international visibility and contribute to horizontality of the forum

            This means checking that

            Organizations that communicate with Nairobi office about the consultation or their activity by email of by fax or telephone have either found someone with internet access to act on their behalf and liaise with them, or are being registered in the activity workspace by a special “Digital inclusion group” based in Nairobi ( @@ information about support groups in Nairobi – later on )

            In this case the information visible on the workspace should clearly indicate that the organisation has no frequent access to internet and how it should be contacted ( telephone, fax etc.. )

            WSF workspace is developed by an international technical team working in contact with methodology and content commission

            "WSF2007 website collective " team designed this site and worked in a spirit of international cooperation, based on WSF2006 first experience of workspace

            This site is entirely built on free software ( called Plone) (see footer and credits).

            IMPORTANT / A WEBSITE SUPPORT GROUP APPEARING IN THE WORKSPACE and accessible through help will provide some support to users willing to use those functionality and explore possibilities for their activities ( see more 11) ) Name of this group will be communicated later on

            This support group will be formed by salaried people of WSF offices (that will be also available on the telephone) backed with volunteers across the world.

            3 Get involved as participant to organizations (in the workspace “organization” is a generic term to designate any collective entity, formal or informal)

            The "organisations" exist through “participants” that register individually on the site and are invited in them or request invitation in them.

            If the organisation to which you refer is already registered in this site, you can ask to join those who are already affiliated with it ( select the entity and access its dedicated workspace and click on participants ( see more 10-6 and see 7-2))

            If it is not yet registered, you can register it (provided you feel qualified to do so) and as its first facilitator /manager invite other fellow participants to join it, and give them some facilitator rights . ( see more 10-4)

            After registering your organisation in the permanent workspace, you can enlarge the number of one line participants , Initiate and promote activities or proposals in the workspace,

            This gives your organisations visibility and networking capacity : other organisation can visit your workspace, see your documents and propose contacts and activities in the WSF open space , on line or towards an event on certain common issues-

            Each organisation has an associated mailing list and can exchange with others organizations through collective messages sent to those mailing lists ( see 7-4)

            You can communicate with other organizations and make contacts with their participants depending on your affinities, interests and projects: Exchange, discuss and cooperate in Groups

            Workspace brings to organisations a working space for the part of their membership that is actively involved in the networking process of WSF - all the participants in the on line organisation are in some way a “on line delegation” of this organisation in the WSF process

            4 Get involved also as participant to groups of organizations ( see more 11-1)

            An innovative way of networking is also to create stable "groups of organizations gathering participants from various “organisations" partnering in this group in the name of these organizations and sharing together a workspace where to prepare and promote joint activities, or where to publish common proposals for actions related to social change.

            Workspace bring to groups of organisations a stable and horizontal collaborative “ mini open space “, just a few clicks away from communication with many others groups and organisation in the site

            You can create groups of organisations and outreach to other participants of other organisations to enlarge them and turn them into active entities in the forum process or ask to join -In the name of your organisation- groups already existing,

            Workspace “groups” are for working together and enlarging the group, workspace “organizations” are for being efficient in networking in WSF space on behalf of an organization

            Groups are not organisations and do not register as such in Nairobi event

            NOTE :as a matter of fact , some groups may want to show their identity they may have to register also as organization and live with this double identity

            Groups cannot participate in other groups – this rule maintain the horizontality of the forum

            IMPORTANT visibility of groups in Nairobi program –

            Participants in groups are expected to behave as in real open space situation and liaise with their organisations ( meaning the organisation in the name of which they are in the group) in case of doubt about reality of support given given by those organisations to the group activities

            In Nairobi final program ,for all activities prepared in groups and by default, unless otherwise required, the list of the organisations present in the group will be displayed as the list of “workspace partner” promoting the activity together ( group facilitators will have possibilities to take out some names if necessary) . Some “declared partners” can be described in the activity form also

            NOTE : $ The name of the group itself may or may not appear besides the list of partners ( that is an option to be taken by the group when filling the Nairobi need and wish form when registering the activity in Nairobi)

            5 Cooperate in the site –

            Organisations and groups have each their own specific mail list and their own workspace in this site, they can use it in minimal way or high profile mode ( see more 11)

            Activities proposals and their related document promoted by an organisation registered in the workspace are durably installed in the social forum process and are easily visible and accessible for the other registered site users thanks to the search facilities in Activity and Proposals menu – (see more 5-2) and also in the memory Publication space ( see @@)

            To communicate and cooperate participants can

            a) Edit texts, create forums , store images, create links to other sites and organise all these documents in folders – the document edited on line coupled to a chat or teleconference allows cooperative work in various parts of the world ( see more7-3 and More 10-5)

            b) Initiate and perform or prepare on lines activities and “proposals of alternatives and actions” in collaborative mode inside your organisations (click on initiate activity or proposals in the right side menu more 10-4)

            This action create in the name of their Organisations and groups of organisations "activity" folders and "proposal" folders in which and store all kinds of documents created in a)

            c) Discuss ideas or merge between some activities that are similar, and promoted by various Organisations and groups of organisations , in order to join ideas and strength on common objectives ( see more about merge in 7-3)

            Perform the agreed Merge between an activity promoted by your organization and group with activity promoted by your organization and group ( see more11-3)

            6 - Register some activities for Nairobi WSF event to be included timely in the final Nairobi program

            Some of those activities may be proposed in WSF event

            The full set of activities registered for the next WSF in Nairobi constitutes Nairobi preliminary program

            Nairobi organizers will be in contact with all activity organizers and will convert this set of activities into the final event program.

            Promote some proposals - The set of proposals on the site constitutes a permanent interactive board. You are invited to check it regularly and to contribute to the quality relevance and implementation of actions for social transformation .

              A-There is a marked difference between actions and activities

              Actions campaigns and struggles can be considered “outside” the forum dialogic open space, and they are let with all that want to participate in them , while “activities” with cultural dialogic and practical nature are “inside” the forum space, directed to forum process participants, and are proposed by non party and non violence using organizations, as per WSF charter

              Consultation workspace collects information on actions campaigns struggles that participants in WSF process are engaged in . It appears as an incipient contact resources center about actions led by organizations connected to WSF process. There are no document edition and collaborative possibilities on this site

              After end of “consultation in view of Nairobi” on August 30th this workspace on actions campaigns and struggles will continue and become In 2006/2007 an “action related” resource site

              B – Proximity on actions throughout the year leads organizations to making contact for preparing common activities

              The strongest identifier of an organization in WSF process are the actions declared by this organization.

              So many contacts and merges of activities will be made based on proximity felt by other organizations about actions campaigns and struggles declared by an other one

              To find those contacts, proceed in 3 steps

              • 1 go to consultation workspace @@ consultation workspace - @@ FAQs on consultation about actions campaigns -
              • 2 search actions that interest you ( click consultation – click search - and select the field and give your string of character then and look up the results and find organizations involved in them
              • 3 contact those organizations on the workspace - search them in organisation visit their workspace frontpage and click on contact participants

              IMPORTANT It happens that Action workspace and activity workspace although designed on similar concepts and developed by a same technical team are not linked for technical reasons So organization register separately on each of them.

              Nevertheless all organizations registered on occasion of WSF2006 and before September 15th 2006 will be migrated to WSF workspace end of September

              2 – select the entity in organization or groups (see more 5-2) access the entity workspace and click on “participants” and introduce yourself (see more 10-6 ) in a mail sent on the organization mailing lists and wait for the feedback ( you can receive a reply to your mail or a notification of invitation (the go on the site and accept it) this way the facilitator only has to accept you ( $ but how do you know you are in)

              IMPORTANT : copy/cut an entire folder ( standard folder or activity/proposal folder ) and paste it in another organisation in the same entity or in another entity ( if you have editing rights in both)

              IMPORTANT :you may comment a document from an other entity as visitor in its dedicated workspace ( if the document is accessible to all site members)

              >> go at the bottom of the document press the “ add comment “ and “ answer comment “ buttons visible at the bottom of the document - if there is no such button it means document has been declared “ without comment “ by its editors ( this can be changed when creating it or editing it at the bottom of the form ) $ Further on it will be made visible through a non verbal code ( icon or shape ) that the document is commentable and how many comments it bears

              IMPORTANT :you can copy/cut any document and paste it in another folder in the same entity or in another entity ( if you have editing rights in both it can be done on action menu or content menu ( @see more 10-6)

              IMPORTANT : you can create discussion forums on any document( choice proposed when editing the document just before saving it at the bottom of it)

              you can have this forum restricted to entity participants or open to all site participants>> make the document “ restricted to participants/open to site participant ” in the state menu ( @see more 10-6)

              Comments and topics will appear at the bottom of the document in a grey colored area

              NOTE you can use bulleting board as a way to formalize a discussion inside an entity ( create a specific document page with topics describing what is discussed and each comment is a contribution -then the document itself comes as a outcome/summary sintesis of the debate – with appointed facilitators editing it under control of all participants )

              You can organise all these documents in folders.( see the content display in the menu )

              this is useful to send information to people from your entity that may not have connected to the workspace recently

              Send messages outside your entity

              write a mail to all the participants of any other entity and copy one’s organisation of the mail (on the site directly) ( with join documents ??) by contact participants

              IMPORTANT the only way to contact participants in an entity you are not part of is “contact participants”

              write message to their organisation from their mail box (not to other ones) –

              contact other participants individually : by clicking their name in the “participant” menu list if they are in the entity - by clicking their name after finding it in the “invite participant” menu search if they are not in the entity

              Preliminary

              1 - Ensure your organisation is registered and present in the workspace through one or various persons

              INFORMATION this activity workspace that will open by Early October

              NOTE if you have registered your organisation in wsf2006 polycentrics on wsf2006.org site or in the consultation workspace before august 30th this organisation will be automatically registered in the activity workspace when it opens by end of September

              Practical steps

              2 – An activity is initiated/proposed/ promoted either by an organisation plus declared partners ( declared In the activity form see 13 ) or by a group of workspace partners organisations, plus declared partners ( click on “initiate activity” in the right column (@see more 10-4)

              IMPORTANT you decide if you initiate an activity as this organisation only or as a group of organisations that you can create in the activity workspace

              Declared Partners And Workspace Partners

              If you choose to promote an activity as organisation you will have only “ declared partners” described in the form associated with the activity ( see 12) –

              NOTE you do not share a workspace together with your “declared partners” but they may write to your list and put comment on your documents (as anybody else on the site) if those documents are open to site participants and open for comments

              If you choose to promote an activity as a group of organisations , you will have” worskspace partners” sharing a common dedicated workspace with you and accessing horizontally the collaborative tools (@ see 7-3)

              This workspace gives capacity to outreach for more workspace partner organisation on the workspace and invite them collectively by “ contact participants” to send people in this group in their name ( see more 4-4)-

              IMPORTANT Creating a group of organisation proposing the activity is a first mechanism for networking effectively around this activity

              Later the activity can be merged along the way with another activity proposed by other organisations if there is mutual interest and will to do so (@see more 4-4)

              IMPORTANT Merging this activity with another one ; so there is only one activity left is the second mechanism for effective networking , this leads to choose between all partners a merge scenario and you have certain questions to answer ( see more 11-2 or 11-3)

              Two organization being “Workspace partners” are necessarily in some group together

              3- “needs and wishes” form to be filled when registering an activity in nairobi

              When partner organisations decide that an activity initiated in the workspace will be proposed in Nairobi, some facilitator/manager has to click on right column list ( see More 10-4) on “ start registration” and give information about their needs and wishes ( about what where when in which language in which space will be this activity)

              1-what is your activity : title suggested for Nairobi program – type ( cultural dialogic practical etc..)

              2 who is shown in the program as promoting it ( either one promoting organisation and other partners, if activity is initiated by one organisation, or the list of group partners organisations ( workspace partners) and other partners( declared partners) if activity is promoted by a group - define list of formal partners (see more 4-4 ) and informal partners (in the activity form)

              3-when it would happen ( day - slot in the day)

              4-where it would happen ( kind of space size of audience)

              5 -in which language it would be accessible (need for translation and intention to record)

              6 -in which neighborhood / thematic space of Social forum Territory in Nairobi it will be located

              saving this needs and wish form requires that all compulsory fields are filled

              when these fields are completed, the activity gets a “payment code” associated to it that can be used by anyone and appears on a public list of “activities registered for Nairobi” visible in the workspace ( @see more 5-2) and on the WSF2007.org site

              this list is the Nairobi work in progress program visible on workspace site ( see 5-2) – an elaborate program will be issue by logistic group for dialogue with activity organizers about the final allocation of time and space ( @see 11-5)

              IMPORTANT you can access the need and wish form several times and edit it by clicking on “ registering activity in Nairobi in right side menu 10-4 -) $ upon each saving you see and receive by mail the activity payment code

              IMPORTANT It is advised to complete Merge of two registered activities before they are paid for – that will make things simpler for everyone ( see 11-2)

              Any organisation can pay for the activity fee by credit card or bank transfer and upon receipt of payment the activity will appear in the list of “activities registered and paid for “

                    These decision can be technically implemented by someone being facilitator of both entities (@how to be given faclitator rights see 7-1 ) - ( @ about technical support for implementation of merge: click on merge in left column and see more 10-4)

                    Who will the declared partners of the final activity

                    If one of the Activities being merged may be already in registration phase for nairobi, it will be withdrawn (@cases)

                    Organisations and groups can contact easily facilitating groups on site selecting them on Group list (facilitating groups will be groups ) and “contact participants)

                • Step 3-REGISTER CERTAINS ACTIVITIES IN NAIROBI EVENT ( this is done in the workspace)
                • Minimal use of workspace: All activities created by the entity (click on “ initiate activity” in right side action list see 10-4 and fill the form ) are meant to be Nairobi activities - Once initiated in the workspace the activity is readily proposed / registered to Nairobi : ( click on “registering activities “ in right column action list 10-4 “ and select it

                  Use of New possibilities of workspace : This opens for entities the possibility to have activities on line that you can work on independently or Nairobi event

                  This permanent work on activities that may not be connected or only temporarily connected to a WSF event such as Nairobi - @ ( about WSF on line open space- what is on line activity) )

                  These one line activities are meant to be WSF activities in a permanent online forum space that is they have cultural or dialogic or alternative drafting character and are promoted by entities approving WSF charter (any organisation declared on the WSF workspace is asked to approve the charter)

                  NOTE This possibility existed in wsf2006.org workspace formally ( “ general activities” in WSF2006 workspace ) but was of little use since participants could not discuss in bulletin board or edit documents

                  IMPORTANT / you can withdraw an activity from Nairobi program after you have started registering it for Nairobi program, it remains as a standard workspace activity not connected to Nairobi event

                • Possible 3A-Merge two event registered activities into one
                • Minimal use of workspace: Withdraw from Nairobi program one of the activities promoted by one promoter and modify the other with adapting the content and completing the list of declared partners of the other (see 12) - this can be done manually, or using “merge “ on action list ( see 10-4) and selecting merge 1 : Entrust

                  Use of New possibilities of workspace : Merge 2 - create : create an ad hoc group G3 specifically to promote a common merged activity A3 and Merge 3 Enlarge : enlarge one existing group E1 or E2 to promote the merged activity A1 or A2

                  NOTE Both Merge 2 and Merge 3 bring to the merging partners a “group dedicated workspace” for preparing the merged activity horizontally

                  Merging process implies making several clear-cut decisions-

                  1-what will be the merged activity :

                  2 -Who is promoting it – which are the declared partners

                  3 -How is the merged activity initiated in the workspace ? based on who will promote it ( Merge 2 : create an ad hoc group or case 3 enlarge an existing group

                  4 -what happens to the two initial activities ( they are withdrawn from Nairobi program list but may or may not stay as activities in the workspace )

                  The quick access operation “merge” available in the right side menu (see 10-4) allows to implement a base activity whose form and content of folder can be initialised and then modified by the group participants after the initial implementation of the merge

                  Also Organisations and groups can contact easily facilitating groups in the workspace about merging

                  (NOTE $ and people from facilitating group should be able to contact two or three organisation by mail to make merge suggestions that is why it is necessary to have this possibility in the “send message” action see more 10-4)

                • Step 4- REGISTER AND PAY ACTIVITY FEE ( this is started in the workspace then in the event site)
                • Minimal use of workspace: Same as usual – one organisation pays for “its” activity on event site ( i-e the one it promote with declared partners– it fills the need and wish section ( see 8-3 )

                  IMPORTANT you can access the need and wish form several times and edit it by clicking on “ registering activity in Nairobi in right side menu 10-4

                  Upon saving this section ( this requires that all compulsory fields are filled ) $ you see and receive by mail the activity payment code )

                  With this code you can proceed to pay (click on go to event site /pay activity ( more 10-4 )

                  Use of New possibilities of workspace : Once their need and wish fields are filled and a payment code is available , Activities are paid in an “open” way – i-e any organisation can pay for any activity ( this facilitates sharing fees inside a group of organisations

                  IMPORTANT : in order to avoid double parallel payment in a group the entity taking on itself to pay for an activity by bank transfer should warn the rest of the group( on the group list serve) that this payment is under way - because the activity will stay as not paid until the Nairobi committee receives notification of bank transfer and processes it )

                • Step 5 DIALOG WITH PROGRAM GROUP ABOUT THE FINAL ALLOCATION OF ROOM DATE AND YOUR SPECIAL NEEDS
                • Minimal use of workspace: exchange by phone or email with the program group - Look up at tentative programs ( this part will be documented later on based on effective guidelines of program group )

                  Use of New possibilities of workspace : the program group can be contacted easily on the workspace like any other group ( see 7-3)

              • 1 I am new to the site. How should I proceed to get my organisation registered?
              • You need to register first as a member of the site ;. Become a Member. After registration, you can login with your username and password and click on “ create organisation “ in right side menu ( see 10-4) to create an organisation to proceed further.

                Note: You need to be associated with an organisation to perform creation and collaborative actions – this organisation may be a volunteer group supporting WSF in nairobi ( @ see info on volunteers. )

              • 2 If I want to join an existing organisation rather than creating a new one, how should I proceed?
              • You can list the organisations (see more10-3) search and select one then click on “participants” ( see more10-5) introduce yourself and ask to be invited in it – $ upon acceptance you will receive a mail

                @About facilitators/managers

              • 3 Who is Facilitator Person? Who can become one?
              • A Facilitator/manager Person is an appointed administrator of the organizational or group dedicated workspace on the site, and has the right to add/edit the Organisational profile, a right that other members will not have. (S)he or they ( there can be several facilitators in a same organisation or Group of organisations has also the right to invite other members from the “ real “ organisation to be part of the “online “ organisation. By going to “ invite participants

                Any participants in the entity can become or quit being facilitator – if other facilitator decides it ” this is horizontality

                the number of facilitator depends on the organizational culture of the entity – it the organisation is “decentralized” all participants can edit documents

              • 4 How do I, as a Facilitator Person, issue invitations to the workspace?
              • Organisations can decide to have only one on line participant, or the facilitator Person may invite other members and create a on line delegation in the workspace by going to the entity menu ( see 10-6 ) and click on “invite participants” .

                IMPORTANT : If you choose the option to have only one facilitator, please ensure the security of the log-in information. You can get help about paswords in $$

              • 5 Why does the WSF require this “complicated” procedure of login and cooptation?
              • The procedure is actually not complicated at all – the first person who registers the organisation is facilitator, and requires only one additional step to enable other members to access the workspace and be also facilitators. ( in “participant” - in the entity menu 10-6

                As the web site can be accessed by anyone , this procedure is essential to protect your organisation’s profile , document edition , and activity registration information from being accessed and manipulated by non-authorised persons.

                IMPORTANT : Depending your choice ( centralised or not centralized organisations see 10-5 ) All members, or only facilitators , may register activities on behalf of their organisations or groups of organisations for the WSF and edit documents in the activity folder in the dedicated workspace of the organisation.

              • 6 How do I initiate my organisation’s activity online?
              • If your organisation is not already subiscribed to this workspace you will need to follow the procedure for registration of organisations, and then click on the right side column “ initiate acitivty”

                IMPORTANT : after your activity is initiated in the workspace you need to register it for nairobi , otherwise it will not be taken into account in nairobi program – clcik

                Note: All mandatory fields must be filled in for your request to be processed.

              • 7 Do I need to fill out the whole forms in the site ?
              • Only the mandatory fields marked with a red littre square need to be filled In in the forms

                IMPORTANT . However, we would request you to take the time out, either at the time of the registration or any point thereafter, to supply as much of the additional information as you can, as this will help the quality of the workspace data and regarding registration help WSF programme committee to publicise your activity properly.

              • 8 Is online registration the only option?
              • No, you may download the online registration form as PDF document.( $$ where ??)

                You may fill it out offline, and email the completed form to us. If you choose to complete the form by hand, then please mail it to the WSF Office. Forms will also be available by post – please contact us at the above address.

                IMPORTANT Digital divide breaking - giving visibility to all organisation

                As a rule defined in Nairobi organizing committee no activity can be put in Nairobi program if it is not initiated in the workspace and registered for nairobi there

                WSF Nairobi organization committee is trying to organize so that non internet based organization have their activities declared in workspace through “internet supporters” assigned to each non internet organization

                include everyone in the workspace give each organization international visibility and contribute to horizontality of the forum

                This means checking that

                Organizations that communicate with Nairobi office about the consultation or their activity by email of by fax or telephone have either found someone with internet access to act on their behalf and liaise with them, or are being registered in the activity workspace by a special “Digital inclusion group” based in Nairobi ( @@ information about support groups in Nairobi – later on ) - in this case the information visible on the workspace should clearly indicate that the organisation has no frequent access to internet and how it should be contacted ( telephone, fax etc.. )

              • 9 When will my registration in Nairobi be confirmed?
              • Registering activity in nairobi An application for registration does not automatically confirm registration. After receiving of your need and wish form , the WSF Programme Group may contact you with its decision, and/or possible request(s) for additional information. ( $more later on)

                @ How to pay

              • 10 How do I make the payment for my activity?
              • Please do not make any payment until you have received official intimation of acceptance for your activity. The Programme Committee will intimate you as to the method and quantum of payment, upon acceptance of your activity. ($ reviewed later on)

              • 11 My organisation cannot afford to pay for all the feeds . How can I apply for exemption?
              • Please do not make any application for exemtion at the time of registration of activities.

                At the time of the official intimation of acceptance for your activity, the Programme Committee will invite applications in this connection. Decisions about your application will be made jointly by the Mobilisation and Programme Committees.
